ENTRY FEE REFUND

Good news! New in 2016, the Hartford Marathon Foundation will participate in the optional Registration Refund Plan administered by Stonebridge Benefit Services, Inc., a Transamerica Company.

If you choose the Registration Refund option at the time of registration, you could receive a full refund of the registration fees you paid if you are unable to participate due to one of the following reasons:

  • Personal injury or unforeseen illness
  • Family member injury or illness
  • Loss of Life
  • Unexpected covered travel delays
  • Pregnancy
  • Family member childbirth
  • Permanent job relocation

Please note: A Qualified Medical Practitioner must certify illness, injury or pregnancy refund requests.

RACE DISTANCE CHANGE

If you have registered for an event that has multiple distances, you may switch to a different distance in that event, provided that the distance you are switching into has not reached its Entry Limits (i.e. Sold Out). You MUST wear the correct bib for the correct race distance. Changes may be made prior to or during Packet Pick-up (until the race distance hits Entry Limits). Changes must be made prior to Race Start and you must wear that bib for the race you transferred to, wearing the wrong bib will disqualify you from race results.

There is a $10 service fee for making any Race Distance change. If you are upgrading to a longer distance (i.e. from 5K to Half Marathon) you will also pay the difference in entry fees for the upgrade. There are no entry fee refunds for switching to a shorter distance (i.e. from Half Marathon to 5K).

Instructions for switching race distance:

  • Please access your ‘Personal Event Profile’ in Chronotrack to transfer your entry: https://register.chronotrack.com/auth/sign-in-form. There is also a link to your Athlete Profile in the confirmation email that you received when you registered.
  • Click the Race Change button and follow the prompts.
  • You are not transferred until you receive a confirmation email from Chronotrack.

Bib numbers may NOT be transferred to another person for any reason at any HMF Event.

DEFERRAL CREDIT

If you do not choose the optional Registration Refund option, your registration for any Hartford Marathon Foundation (HMF) event is non-refundable. However, if you have registered for an event but find you are unable to participate, you may choose to defer your entry for credit to a future event.

Deferrals are allowed until 14-days before the event. No deferrals allowed 14-days or less from the event; with the exception of military deployment.

  • Entrant may defer for any reason.
  • The request for a deferral credit is final and may not be reversed.
  • Deferral credit is good for one year from the date of the event from which you are deferring.
  • Deferral credit may be used for entry into any HMF event within 12-months from the date of the event.
  • Deferral credit amounts listed below can only be used toward race entry fee. You will be responsible to pay for add-ins like Mail My Packet, Pasta Dinner tickets, shirt upgrades, etc.
  • Deferral credit cannot be used to register for more than one future event.
  • There is NO REFUND of the entry fees. An entrant with a deferral will receive credit as follows:
    • 5K = $20 toward race entry fee at another HMF event
    • 10K = $25 toward race entry fee at another HMF event
    • Half Marathon= $55 toward race entry fee at another HMF event
    • Marathon = $75 toward race entry fee at another HMF event
    • Triathlon = $70 toward race entry fee at another HMF event
    • Duathlon/AquaBike = $55 toward race entry fee at another HMF event
    • FitKids= $10 toward race entry fee at another HMF event

  • PLEASE NOTE: Students receive discounted entry fees, therefore their deferrals amounts listed above will be reduced by $5.

  • Please access your ‘Personal Event Profile’ in Chronotrack to defer your entry: https://register.chronotrack.com/auth/sign-in-form. There is also a link to your Athlete Profile in the confirmation email that you received when you registered. Click the Race Change button and follow the prompts.
  • You are not deferred until you receive a confirmation email from ChronoTrack.
  • You will NOT be automatically entered in the future event you are deferring into, please look for an email from ChronoTrack with your deferral code to use toward entry fees in a future event.
