THE OFFICIAL EVERSOURCE HARTFORD MARATHON CHARITY PARTNERSHIP PROGRAM

THE 2024 APPLICATION PROCESS WILL BE OPEN FEBRUARY 5, 2024 – MARCH 25, 2024.

The Eversource Hartford Marathon “Official Charity” program is limited exclusively to a small number of nonprofit organizations. This exclusive offering allows charity partners to maximize the value of their involvement with the Hartford Marathon Foundation (HMF). All race participants are welcome to run or walk on behalf of any nonprofit organization, but HMF will only authorize “Official Charity” status and all related benefits to designated organizations.

Charities are invited to expand their fundraising teams with an enhanced walker-friendly experience at the Charity 5K at the Eversource Hartford Marathon.

PREMIER TIER

  • Only available to previous Official Charity Program charities.
  • Charity REQUIRED to provide a minimum of 45 volunteers.
  • A goal of $20,000 in donations.
  • A goal of 75 registered runners/walkers for the charity team (any race distance, 5K only for walkers).
  • Charity provides a human interest story that will be used by our media company.
  • Charity logo, mission and contact information will be displayed on HMF’s website.
  • Charity has the option to participate in Charity Village on race day in Bushnell Park.
  • Charity is highlighted in race promotions and spectator guide.
  • Charity name is included in race announcements throughout the day in Bushnell Park.

GOLD TIER

  • Charity REQUIRED to provide a minimum of 30 volunteers.
  • A goal of $10,000 in donations.
  • A goal of 50 registered runners/walkers for the charity team (any race distance, 5K only for walkers).
  • Charity logo, mission and contact information will be displayed on HMF’s website.
  • Charity has the option to participate in Charity Village on race day in Bushnell Park.
  • Charity is highlighted in race promotions and spectator guide.
  • Charity name is included in race announcements throughout the day in Bushnell Park.

SILVER TIER

  • Charity REQUIRED to provide a minimum of 20 volunteers.
  • A goal of $5,000 in donations.
  • A goal of 20 registered runners/walkers for the charity team (any race distance, 5K only for walkers).
  • Charity logo, mission and contact information will be displayed on HMF’s website.
  • Charity has the option to participate in Charity Village on race day in Bushnell Park.
  • Charity is highlighted in race promotions and spectator guide.

BENEFITS TO CHARITY PARTNERS (ALL TIERS)

  • Charity use of Eversource Hartford Marathon logo for marketing purposes.
    • HMF must review and approve the use of the logo in all materials prior to publication.
  • Charity highlighted on HMF website, printed material and via online promotional materials.
  • Charity will utilize fundraising capabilities built into HMF’s registration system (haku).
    • There is no obligation to use haku’s fundraising platform; however, the charity will report all fundraising totals through the Eversource Hartford Marathon for tracking purposes.
  • Charity will receive administrative access into haku’s registration system and fundraising platform to manage all charity runners, export reports, approve applying registrants, pay for their runners and or charge the runners the registration fee.
  • Once charities are confirmed, a question will be added into the general public registration process asking runners if they would like to be contacted by one of our official charities to inquire about fundraising on their behalf. HMF will provide a regular report to charities with any participants that have selected their charity.
  • Charity volunteers receive official Eversource Hartford Marathon swag upon arrival for their assigned shift.

OBLIGATIONS OF OFFICIAL CHARITIES

  • Charity must be an established and recognized 501(c) 3 charity with fundraising experience.
  • Charity application must include a brief marketing plan outlining how your charity will use Official Charity status to promote their cause.
  • Charity must provide volunteers for HMF race day operations as noted in the Tier requirements. HMF will determine volunteer placement with input from the charity.
  • Charity must register 50% of the required volunteers by August 26, 2024. Remaining 50% registered by September 25, 2024. Failure to provide volunteer names by these dates may jeopardize status as an Official Charity.
  • Charity runners must be registered, approved and paid for by September 30, 2024 to ensure all runners are sent important race communication and accounted for in the event inventory.
  • Charity must maintain contact with runners, walkers and volunteers.
  • Charity must agree to promote the event using the full name and official race logo as provided.
  • Charity must complete a brief survey and financial report by November 13, 2024.
  • First year charities will be asked to meet HMF staff prior to acceptance in the program.
  • Final placement of a charity in the program and assignment to a specific tier will be at the discretion of HMF.
  • All funds raised by the charity are kept by the charity. HMF is not involved in fundraising
  • Charity will not pay a fee to participate in this program.

CHARITY VILLAGE PARTICIPATION

  • All official Charity Partners who meet their volunteer commitment are welcome to participate on race day at Charity Village.
  • There is no fee to participate, however all charities are responsible for covering the expense of their tent, tables and other rental equipment through HMF’s contracted vendor. For liability reasons all equipment must be provided by our vendor. Deadlines are as follows:
    • Monday, September 9, 2024 – all equipment request forms must be received by HMF.
    • Monday, September 23, 2024 – Certificate of Insurance due listing the Hartford Marathon Foundation as additionally insured is required to participate in Charity Village.
